Kwende Electrical Supplies is committed to the adherence of the Protection of Personal Information Act No.4 of 2013. The purpose for which the client’s personal information will be collected and processed is to ensure that such personal information and documentation is verified and vetted to promote compliance with our policies and procedures and to assess the required applications of personal information of a client.

Who we are:

Kwende Electrical Supplies specialises in Overhead Reticulation, High Voltage Cable Networks and related services. Our Shop that is located at 62 Leask Street, Klerksdorp, supplies all and any electrical material to the community.

We currently collect and process the following information:

• Personal identifiers, contacts and characteristics (for example, name and contact details)

 

How we get the personal information and what we use it for:

Most of the personal information we process is provided to us directly by you for one of the following reasons:

• CT Check (All information supplied on our Credit Application)

• Billing Information

 

We also receive personal information indirectly, from the following sources in the following scenarios:

• Insurance companies contact us with information to assist with a claim. All information is kept confidential and secure.

 

We use the information that you have given us in order to:

• Create an account on our system, which help or enables us to Quote and Invoice directly on the given name of the Customer, with all details as normally required. These details will also show on a customer’s Statement that is sent out monthly.

 

We may share this information with:

• Our lawyer Lezanne Swanepoel Inc. which does our CT checks

• Our sister branch. EB’s Hardware which is situated in Potchefstroom.

• Our bookkeeper Spektrum Rekeningkundige Dienste.

• Our Independent consultant Drawing & Office.

 

When will we process your personal information:

In terms of the Protection of Personal Information Act (POPIA), the justification ground which we base our processing on consist out of the following:

• The data subject or a competent person where the data subject is a child consents to the processing. Kindly note that you have the right to withdraw your consent;

• The processing is necessary to carry out actions for the conclusion or performance of a contract to which the data subject is a party;

• The processing complies with an obligation imposed by law on the business;

• The processing protects a legitimate interest of the data subject;

• The processing is necessary for the proper performance of a public law duty by the business;

• Or The processing is necessary for pursuing the legitimate interests of the business or of a third party to whom the information is supplied.

 

How we store your personal information:

Your information is securely stored:

• As per the requirement by SARS all documents will kept for a period of 5 years + the current year. All documentation older than 6 years will be destroyed by means of shredding.

• Some documentation like the completed Credit Application will be kept as long as the customer is an active client, and will be destroyed with documentation as set out above.

• All other information that is stored on our system and is password protected.

 

Your data protection rights:

• You are entitled to access your personal data by sending a written request. We may charge you a fee for this service.

• You may also request to correct or supplement any of your personal data which the  information officer will undertake as soon as practicable.

• Request the destruction of your personal data. Your request will be considered in light of any other laws or regulations prohibiting Kwende Electrical Supplies from destroying your personal data.

• You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you
